+ Program Development Support and Event Management for One-day event – $4800
+ Each additional event day – $4800/day
+ Applicable CEPD Staff travel and accommodation costs
+ Applicable CEPD Staff Overtime @ $90.00/ hour (before 8 am and after 5 pm)
EVENT MANAGEMENT SERVICE PACKAGE FOR ACCREDITED PROGRAMS INCLUDES:

Support with Program Development and Accreditation
- Completion of the CEPD application to accredit/certify the activity
- Guidance with program development and completion of associated documentation required to demonstrate alignment with administrative, educational and ethical standards.
- Assistance with conflict of interest (COI) mitigation strategy
- Access to CEPD Research Coordinator for assistance with the development and implementation of a needs assessment strategy. (Additional fee applies)
- Assistance with writing program and session learning objectives
- Organization and support for up to 9 one-hour planning meetings

Customized save the date, poster(s), brochure and/or website design
Website design uses Fourwaves platform (Additional fee applies) |
Speaker Preparation:
- Communication with speakers regarding CFPC Quality Criteria, RCPSC educational standards and the National Standard for Support of Accredited CPD Activities
- Provision of Speaker package with templates, tools and resources
- Facilitation of distribution and collection of required COI disclosure forms, presentation templates, and applicable releases
- Speaker training on WebEx for virtual or hybrid events
- Speaker thank-you letters

Electronic Conference Evaluation Strategy and Implementation (Unlimited sessions):
- Development of program and session-specific participant electronic evaluation
- Automated distribution of evaluations at pre-determined time
- Up to 2 follow-up evaluation distributions for assessment of practice change/reflection
- Provide program and session specific evaluation summaries

Event support from CEPD staff member(s) throughout event
In-Person Events:
- Collation, printing and distribution of participant name tags, conference packages and other applicable educational materials (Additional fees may apply)
- Arrival 1.5 hours prior to start of event to set-up registration, ensure appropriate signage, approve room set-up, book/oversee AV set-up through venue IT services, and finalize schedule for catering
- Support for speakers, SPC members and participants throughout event
- Manage registration, attendance and information desk throughout event
- Coordination with venue and catering staff to manage logistics
- Tear down and clean-up following the event
Virtual Events:
- Coordination of event, moderators, virtual ‘rooms’
- Facilitate transitions between speakers and slide decks during breaks
- Facilitate sponsor ‘rooms’
- NOSM U IT support (After hours and weekends may result in fees)
- Speaker test runs prior to the event

Budget Management:
*Total Program funding must be deposited into NOSM U CEPD account upon signing of Service Agreement between SPC and CEPD Office.
- Development of projected event budget in collaboration with Scientific Planning Committee Chair
- Creation of a program-specific NOSM U budget line, with CEPD Office signing authority, managed by the CEPD Office
- Registration fee collection (+ 5% of registration proceeds for credit card fee)
- Payment of program related expenses from revenue generated by SPC operational funds, registration fees, sponsorship or other sources
- Venue management: procurement, bookings, coordination of logistics, payment processing
- Catering management: procurement, ordering, payment processing
- Travel/accommodation management: procurement, reservations and payment processing and/or coordination of reimbursement for speakers, planning committee members and/or participants
- Management of speaker honorarium payments
- Annual budget reconciliation with provision of annual account statement to SPC

Sponsorship Management:
- Development of customized sponsorship prospectus with sponsorship and advertising options compliant with the National Standard for support of accredited CPD activities
- Draft of a letter of request, to be sent to potential sponsors, by SPC members
- Follow-up communication with interested sponsors
- Completion of Sponsorship Agreement signed by sponsors to ensure compliance with the National Standard for support of accredited CPD activities
- Collection and management of unrestricted educational grants and advertising funds
- Coordination of sponsor recognition
- On-site Coordination of representatives from sponsoring organizations throughout event to ensure appropriate recognition and compliance with all ethical standards while in attendance
